Kentucky has the honor of hosting the 2010 Annual SASFAA Conference in Louisville, KY February 2010. As host of this regional conference our membership is charged with providing support to the SASFAA Program committee to insure the conference is a success. KASFAA needs volunteers to serve in various capacities to make our guests feel welcome and show our hospitality. The SASFAA Local Arrangements Committee is made up of several subcommittees described below. Indicate your willingness to serve by selecting your top three subcommittees below.

Airport/Transportation: Airport Transportation and Airport Hospitality (more)
This committee will be in charge of any functions that require transportation but primary responsibility will be with airport transportation. This committee will work with Airport authorities to set up a welcoming station and display welcome banner.
Will be responsible for the airport reception and assistance to incoming SASFAA members during prime travel times on Saturday and Sunday. Obtain rate information of available modes of transportation: taxis, buses, etc. to be communicated to the membership and program committee via web and reports.
Inform hotel of anticipated peak arrival times based on conference times and flight arrivals.
Shuttle Special VIPS- in some instances, SASFAA will want to have a special guest picked up at the hotel. A list will be provided by the Program chair. There are usually less than 10 individuals designated as VIPs.
Registration: Registration, conference materials, conference packets (more)
This committee will assist the Membership Chair and Treasurer in the registration process. These members should be prepared to work assigned hours on Saturday, Sunday and Monday of the conference. This committee will be in charge of making sure information and materials are available in the registration area for members of the association. This committee will also be in charge of decorating registration area so that it can be easily identified as such.
This committee will be in charge of insuring packet materials are received and stuffed prior to the conference.
The chair of this committee will be in charge of assembling a team of subcommittee members and/or non members from area colleges to assist with this activity. Lunch will be provided by SASFAA after the packet stuffing function. Packet stuffing typically occurs on the Friday prior to the conference.
Entertainment: Special entertainment, Publicity (more)
This committee may be asked to recommend local talent that can be used during special events used at the conference. This committee will also be in charge of locating local talent to perform the national anthem, color guard, and other local request during opening session (i.e. student speaker, band, and instrumentalists). In addition, this committee will work closely with the program committee to secure entertainment for the banquet and addition program requests.
This committee will be charged with identifying area attractions and events that will occur during conference and SASFAA events in the area. This committee with the Commuter Suite Subcommittee will be asked to assist with decorating during various functions of the conference.
Members of this committee may be asked to coordinate and/or attend activities during SASFAA Board or Committee visits.
Session Regulator: Conference Headquarters, Session monitoring, (more)
This committee will serve as a liaison between the program moderators, program chairs and AV committee during the conference. This committee will be in charge of maintaining the Conference Headquarters during conference hours, providing copies, storage, lost and found and serve as a communication center for the conference activities. Headquarter personnel will be in contact with conference chairs, treasurer and/or local arrangement chairs in matters of emergency or conference need. Headquarter personnel must be familiar with hotel security and engineering contact procedures.
This committee will assist for making sure rooms have adequate space, chairs, equipment and the room temperature is comfortable during concurrent sessions. Hall Monitors will be assigned during the conference to assist in directing members and communicating issues to conference headquarters. Local members who are proficient with computers and AV will be asked to serve on the AV Conference Subcommittee to assist the conference with equipment compatibility test on Saturday prior to the conference, and equipment setup and take down during the conference.
Commuter Suite: Decorations (floral arrangements, banquet) (more)
This committee is one of the most visible of the subcommittees associated with local arrangements. This committee will be in charge of creating an atmosphere that provides a place for committee members who are traveling in for a day to rest between conferences and a welcome center for those guests who may not be familiar with Kentucky or the Louisville area. This space should have something for everyone and should be a place where attendees of the conference want to visit throughout the conference. This committee will be in charge of designing and decorating this area to achieve the aforementioned goals. The space should be functional, comfortable and educational on a limited budget so creativity will be a necessity.
This committee with the entertainment committee will be asked to assist with decorating during various functions of the conference.
Charity: Selection, presentations, fund raising (more)
This committee will be in charge of reviewing charities in the area and submitting one or two for consideration by the Conference Committee no later than the October Program Committee meeting. Special consideration should be given to preferences of SASFAA President.
This committee will be asked to provide a person to speak on behalf of the charity during the opening session and during the Tuesday night banquet. The committee will be given time during the program to present the charity (speaker and/or video). This committee will be in chair of promoting the charity and developing and strategy to solicit donations during the conference.
